Step 1:
New to xyzABA?
Submit Your Info to Get Started
We’re currently onboarding new clients for ABA services (in-home & clinic-based). To begin the onboarding process, we’ll first verify that your child has an active Autism diagnosis and that ABA services are covered by your insurance plan. As part of this step, you’ll be asked to upload your child’s diagnostic report, a prescription for ABA therapy, and a copy of your insurance card.
Once submitted, our team will review your documents and send them to our billing partner to complete a Verification of Benefits (VOB). After that, we’ll reach out to schedule your initial consultation with a BCBA.

Step 2:

Initial Consultation & Intake Documents
Once we’ve verified insurance coverage and documentation, a BCBA will schedule a virtual initial consultation with you. This meeting gives us a chance to get to know your family, understand your goals for therapy, and determine if xyzABA is the right clinical fit for your child. We’ll also walk you through our process, answer your questions, and outline what to expect next.
Step 3:
Initial Assessment
Our assessment process includes two parts:
-
Remote Parent Interview: A BCBA will meet with you virtually to gather in-depth information about your child’s developmental history, behavioral patterns, communication skills, and daily routines. This helps us understand your child’s strengths, challenges, and needs more deeply.
-
In-Person Skills Assessment: The BCBA and a team member will then meet with your child — typically in your home — to observe current skill levels and behavior in real time. These sessions usually range from 1 to 4 hours depending on the child’s needs.
Together, these steps help us create a personalized treatment plan grounded in meaningful data and family priorities.

Step 4:
Treatment Plan Development
After the assessment is complete, your BCBA will review all collected information -- including caregiver input, assessment results, developmental history, direct observation, and any supporting documents -- to develop a customized treatment plan.
This plan outlines your child’s strengths and needs, target goals, recommended service hours, and strategies to reduce or replace challenging behaviors -- all tailored to support meaningful progress.

Step 5:
Summary Meeting & Authorization Request
Once the treatment plan is ready, your BCBA will meet with you to review the proposed goals, recommended hours, and therapy schedule. You’ll also discuss a potential start date and, if available, your child’s assigned therapist(s). This meeting is a chance to ask questions, share input, and ensure the plan reflects your family’s needs before anything is submitted.
After you’ve approved the plan, we’ll submit it to your insurance provider to request authorization for services. Once approval is received, your BCBA will reach out to confirm the start date and schedule your child’s first session.
Step 6:
The First Session
Your child’s first ABA session is all about building connection and trust. To ensure treatment starts on the right foot, we begin with a process called pairing — where our team gets to know your child through their favorite activities, toys, and routines.
This foundation helps us form a positive relationship and better understand how your child learns, what motivates them, and how to support their progress. By starting with connection, we increase cooperation and set the stage for meaningful, lasting growth.
